Job Description
Title: Church Office Administrator
Classification/Hours: Exempt, Part-time estimate 30 hours a week
Responsible to Senior Pastor for day-to-day operations and defining goals, Staff Parish Relations Committee for staff liaison support, fulfilling responsibilities defined in the job description, evaluation and communication of concerns related to the performance of the position.
Primary Function: The Church Office Administrator will be the first point of contact for most visitors and callers during the week. This staff person will help maintain a welcoming environment that reflects the hospitality of Christ.

• Represent the church to all visitors and callers during office hours. Welcome guests and provide necessary assistance.
• Manage phone calls and correspondence for all staff and volunteer leaders
• Re-check accuracy of weekly offering that is counted on Sunday and note discrepancies and ask for review; prior to making deposit at area bank and providing documentation to Church Treasurer.
• Track church attendance and communicate visitor’s information to the pastor
• Maintain church and pastor’s files and the pastor’s schedule
• Serve as a resource for all ministry areas
• Maintain communication with Church Treasurer to address any questions for accounting records
• Record any bills in the accounting system by scanning and attaching the hardcopy of the bill in the accounting software
• Print bi-monthly payroll journal and file in payroll register book
• Monitor any changes in amounts charged in monthly recurring bills and adjust journal entry accordingly
• Print monthly recurring payments (checks) for signature approval by Treasurer and additional authorized.
• Monthly reconciliation of any Church checking, savings, or other investment account
• Filing of monthly documents in file system and assist in maintaining the files
• Maintain records for 7 years and annually remove documents older than 7 years from the Finance records
• Maintain accounting standards for tithe records in Church accounting software with weekly recording of Church checking deposit
